The mobile application GateRakshak Guard (the "Guard App" or "Platform") is owned and operated by GateRakshak (the "Company"). The Company provides a proprietary security, visitor management, and patrol logging platform for security guards, supervisors, and management committee representatives in housing societies and gated communities ("Services").

This Privacy Policy sets out the privacy practices of the Company with respect to the collection, use, and disclosure of information when security guards and other authorized security personnel access or use the Guard App. This document is published in accordance with the provisions of the Information Technology Act, 2000 and the rules made thereunder. We request you to go through this Privacy Policy carefully before accessing or using the Guard App.

For the purposes of this Privacy Policy, the words "us", "we", and "our" refer to the Company, and all references to "you", "your", "guard" or "user" mean the security guard or security personnel authorized by a registered housing society to access the Guard App.

The protection and security of personal and operational information is our top priority. We have taken all necessary and reasonable measures to protect the confidentiality of information collected, processed, and transmitted through the internet.

1. Collection of Information

The Company collects information essential for providing visitor tracking, security, and communication services. This includes:

(a) Guard Account Information: Your registered phone number, security PIN/password, designated gate/checkpoint, and name. This information is typically provisioned or approved by the housing society management committee or security agency.

(b) Visitor and Service Provider Logs: Information you input when checking in or checking out visitors, delivery personnel, and service providers. This includes names, phone numbers, vehicle registration numbers, photos, purpose of entry, and the flat/unit being visited.

(c) Camera Access: The Guard App requests permission to access your device's camera to:

  • Take verification photographs of visitors and service providers;
  • Scan QR code passes generated by residents for visitor entry;
  • Scan QR code checkpoints during scheduled security patrols.

(d) Microphone and Audio Access: The Guard App requests permission to access your device's microphone and audio settings to facilitate VoIP-based intercom calling, allowing guards to call residents and other security gates/stations.

(e) Device and Operational Data: This includes device model, operating system version, local IP address, battery levels, WiFi connection state, and network strength to ensure device health, connection stability, and app reliability.

2. Purposes for Collection of Information

The information collected through the Guard App is processed for the following purposes:

  • To verify visitor credentials and log visitor entries/exits;
  • To notify residents of visitor arrivals;
  • To enable intercom calling between security gates, residents, and supervisors;
  • To verify and record checkpoint scans during security patrols;
  • To maintain audit trails of society gate operations for safety and security audits;
  • To troubleshoot technical issues, monitor battery/network performance, and improve the Services.

2.1 Sale of Assets, Merger, etc.

We may share your information with our parent company, subsidiaries, joint venture partners, and other companies under common control with the Company. In the event of a merger, acquisition, reorganization, or bankruptcy, operational logs and user accounts may be transferred to our successor.

3. Sharing of Information

We may share collected information in the following circumstances:

  • With the specific resident being visited (e.g., showing the visitor's name, photo, and vehicle details to the resident for entry approval);
  • With the authorized housing society management committee members via the administration dashboard for community security oversight;
  • With our cloud hosting and infrastructure service providers who help run the Services;
  • With law enforcement or regulatory authorities when required by applicable law, warrant, or court order.

We do not sell guard operational logs, visitor logs, or personal information to third parties for advertising or marketing purposes.

4. Security of Information

We implement industry-standard security measures, including data encryption in transit and at rest, to protect the confidentiality and integrity of all operational and personal logs. Since the Guard App handles security-critical logs, access is strictly limited to authorized devices and accounts. However, no transmission method over the internet is completely secure, and we cannot guarantee absolute security.

5. Data Retention

Visitor logs, patrol reports, and guard activity logs are retained in accordance with the agreement between the Company and the housing society management committee. When no longer needed for safety audits, operational compliance, or legal obligations, the data will be deleted or anonymized.

6. Updating and Deleting Your Account Information

Guards are registered and managed directly by their employer, security agency, or the housing society management committee.

Account Deletion: To prevent security audit log tampering, guards cannot directly delete their own accounts or operational history from within the app. If you wish to delete or update your account information, please contact your housing society administrator or security supervisor. Alternatively, you may submit a request by emailing support@gaterakshak.com from an authorized contact address, and we will work with the society management to process the request.

Accessing or using the Guard App outside India is done at your own risk and you remain responsible for complying with local regulations.
